About the role

  • Administrative Assistant providing high-level support to the Fisheries sector at Assembly of First Nations. Responsibilities include managing schedules, logistics, and communications within the team.

Responsibilities

  • Provide general administrative and office support to the Director and Sector staff.
  • Prepare and process travel requests, bookings and reimbursement claims for staff, National Fisheries Committee delegates and guests.
  • Manage the Director’s and team’s calendars, appointments and meetings, as required.
  • Coordinate logistics for meetings, workshops and special events, including air and ground transportation, hotel and meeting room bookings, catering and preparation of meeting materials.
  • Attend meetings and prepare, transcribe and distribute accurate minutes and action lists.
  • Maintain filing systems and databases; sort and organize incoming mail, reports and reference documents.
  • Monitor and manage office supply inventory and order additional supplies as needed.
  • Assist with financial tracking of program expenditures and help reconcile budget reports with financial records.
  • Act, as requested and on behalf of the Director, as the primary point of contact for external stakeholders.

Requirements

  • Secondary school diploma required; a certificate or diploma in office administration, business administration or a related field is preferred.
  • Minimum of two years' experience in an administrative role; experience in political, Indigenous or nonprofit sectors is an asset.
  • Proficiency with the Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and ability to adapt to digital office systems.
  • Strong written and verbal communication skills.
  • Excellent time-management and organizational skills; ability to manage multiple priorities effectively.
  • Experience organizing travel, meetings and events.
  • Knowledge of accounts payable and receivable processes and financial reconciliation procedures.
  • Ability to work independently and as part of a team in a fast-paced work environment.
  • Demonstrated cultural competency and knowledge of First Nations cultures, values, governance and current issues.
  • Proficiency in a First Nations language or in French is an asset.
