About the role

  • Coordinate Pre-boarding Activities: Oversee the end-to-end pre-boarding process, including the creation and management of offer letters in the local language.
  • Ensure Compliance and Data Integrity: Initiate and track employment checks, including drug and medical screenings, ensuring all actions are compliant with internal policies and legal requirements.
  • Manage Candidate Documentation: Maintain accurate and confidential candidate information, ensuring all records adhere to data protection and compliance standards.
  • Support Hiring Processes: Partner closely with Talent Acquisition Business Partners (TABPs) and Hiring Managers to ensure a smooth candidate and stakeholder experience.
  • Handle Discrepancies: Identify and escalate discrepancies in background checks to the team lead, ensuring timely resolution and proper documentation.
  • Deliver Administrative Excellence: Contribute to continuous improvement in processes, documentation, and coordination efficiency within the Global Talent Acquisition team.
  • Collaborate Across Teams: Act as a reliable liaison among recruiters, hiring managers, and candidates, ensuring clear communication and a seamless hiring process.

Requirements

  • 1+ year of experience in coordination or administrative roles within Human Resources (HR) or Talent Acquisition (TA).
  • Strong organizational skills and exceptional attention to detail, with the ability to manage multiple priorities in a dynamic environment.
  • Proficiency in Microsoft Office Suite, with advanced Excel skills preferred.
  • Experience working with Talent Acquisition systems (e.g., Workday) is an advantage.
  • Familiarity with pre-boarding processes, including contract generation, global mobility, or visa processing, is highly desirable.
  • Demonstrated ability to manage stakeholders across different locations and functions in a remote or hybrid environment.
  • Excellent problem-solving, adaptability, and communication skills.
  • University-level degree strongly preferred.
  • Fluency in English and Romanian is required.
