Responsibilities
Perform administrative routines, including managing the collection of invoices and bills through portals, receiving suppliers' invoices and bills, and forwarding them internally for payment according to company processes;
Review and manage contracts, clauses, expiration dates and adjustments, ensuring documentation control and organization;
Support the team with administrative activities in the area, ensuring deadlines and processes are met;
Participate in the purchasing process, including contact with suppliers, approval flows and receipt of invoices/bills;
Create and update Excel spreadsheets using basic formulas, VLOOKUP and PivotTables;
Identify issues and proactively propose solutions, supporting continuous improvement of department processes.
Requirements
Bachelor's degree completed or in progress in Business Administration or related fields;
Microsoft Office (Excel, Word, Outlook);
Experience with VLOOKUP, PivotTables and basic formulas;
Administrative routines: managing collection of invoices/bills through portals, receiving suppliers' invoices/bills and forwarding them internally for payment following payment processes;
Knowledge of contracts and contractual clauses; control of document expirations and adjustments; support for administrative activities in the area;
Purchasing process experience (contact with suppliers, approval workflows and receipt of invoices/bills).
