About the role

  • Administrative Assistant at SereneAid providing bilingual support for international education initiatives. Organizing events, managing communications, and performing various administrative tasks in a multicultural environment.

Responsibilities

  • Proofread and format Word documents with a high degree of accuracy.
  • Maintain and update budgeting and program information using Excel.
  • Support the Special Language Advisor with event organization, meeting coordination, and venue bookings.
  • Prepare memos, letters, and other written materials as required.
  • Answer phone calls and manage email communications professionally.
  • Assist in producing and releasing program and departmental documents.
  • Perform administrative tasks such as copying, scanning, faxing, filing, and managing both digital and physical records.
  • Process and review expense submissions.
  • Take accurate and detailed meeting minutes.
  • Provide occasional support to additional language advisors and assist with other administrative duties as assigned.

Requirements

  • Fluent in English and Chinese (spoken and written).
  • Strong administrative and organizational skills.
  • Comfortable working in a fast-paced, multicultural environment.
  • Proficient with Microsoft Word, Excel, and general office tools.
  • Excellent communication, customer service, and interpersonal skills.
