About the role

  • Oversee daily office operations, including managing schedules, correspondence, and record-keeping.
  • Establish work priorities and manage administrative procedures.
  • Process invoices, purchase orders, and other financial transactions.
  • Create budgets for office supplies.
  • Coordinate and manage meetings, appointments, and travel arrangements.
  • Provide support to other employees, answer phones, and respond to emails.
  • Handle internal and external communications related to the Office Manager / General Assistant.
  • Maintain and order office supplies and equipment.
  • Ensure the office is a clean, safe, and organized working environment.
  • Monitor office facilities and arrange for maintenance or repairs as needed.
  • Purchase supplies and resources required for office operations.
  • Maintain status of all company assets, samples, products, tools, equipment, and supplies.
  • Create and maintain a safe, healthy, and secure environment.
  • Coordinate company events, conferences, and meetings, including arranging catering and logistics.
  • Assist with importing/exporting products, ensuring compliance to export regulations, trade shows, and other necessary tasks.

Requirements

  • Bachelor’s degree with university and equivalent business experience of a minimum of 5 years.
  • Excellent verbal and written communication skills (presentations, report writing, telephone, email, etc.)
  • Attention to detail and the ability to complete tasks without errors
  • Ability to build good relationships and collaborate with both internal and external parties.
  • High emotional intelligence, empathy, and friendly demeanor.
  • Flexibility to adapt to changing office environments and tasks.
  • Ability to remain calm even in stressful situations.
  • A strong sense of confidentiality to protect confidential company information and personal information.
  • Ability to reason through complex problems and find solutions.
  • Ability to take the initiative and get work done.
  • Native-level Japanese speaker.
  • Intermediate (preferred) or elementally English skills.
