About the role

  • Office Manager ensuring smooth office operations and administrative support at Rud. Otto Meyer Technik in Hamburg. Organizing meetings, travel, and communication with internal and external parties.

Responsibilities

  • Organization and management of the reception area and telephone switchboard
  • Coordination and preparation of meetings, conferences and events
  • Preparation of presentations, minutes and meeting documents
  • Appointment coordination and correspondence with internal and external contacts, in particular construction sites
  • Independent handling of special tasks and internal projects
  • Efficient office and filing management with careful documentation
  • Travel arrangements for all employees at the location (flights, hotels, rental cars, etc.)
  • Personal assistance and calendar management for the head of the Competence Center

Requirements

  • Successfully completed commercial training, a degree or an equivalent qualification
  • Ideally several years of professional experience in an assistant or office management role
  • Strong organizational skills and good time management
  • Confident user of MS Office (Outlook, Word, Excel, PowerPoint)
  • Independent, structured and reliable working style
  • High level of commitment, discretion and strong communication skills
  • Excellent written and spoken German
  • Empathy, team orientation and a professional appearance
