About the role

  • Serve as a trusted right hand to the executive team and CEO, owning administrative, operational, and personal tasks
  • Manage complex scheduling and calendars across multiple time zones for meetings, interviews, investor calls, and offsites
  • Prepare meeting materials: agendas, briefing docs, candidate profiles, decks, and logistics
  • Assist with hiring and onboarding: schedule interviews, coordinate candidates, provision laptops and accounts, and provide onboarding resources
  • Operations support: run payroll, send invoices, process wires, deposit checks, and manage recurring finance/admin workflows
  • Coordinate back-office and team support: company merchandise, office supplies, equipment, and facilities maintenance
  • Book travel, hotels, dinners, team outings, and manage detailed itineraries
  • Act as point of contact with landlords, service providers, and vendors
  • Proactively take ownership of miscellaneous tasks to ensure nothing falls through the cracks

Requirements

  • 3+ years as an EA, chief of staff, or in a high-responsibility administrative role (prior startup experience is a plus)
  • Highly trustworthy with impeccable judgment and discretion
  • Obsessive attention to detail
  • Comfortable with high-level work (board materials, PR comms, sales and marketing materials) and day-to-day tasks (ordering supplies, coordinating calendars, scheduling reservations)
  • Strong written and verbal communication skills
  • Tech-savvy (Google Workspace, Slack, payroll systems, expense tools; HubSpot a plus)
  • Proactive, resourceful, and fast to respond in a high-velocity startup environment
  • Located near San Francisco offices or willing to relocate/commute (application asks about proximity)
