Responsibilities
Maintain and manage busy calendars for directors, including scheduling appointments, resolving conflicts, sending reminders, and anticipating scheduling needs
Schedule, organize, and facilitate meetings for multiple directors. Prepare agendas, distribute materials, and ensure all logistics are arranged, including room bookings and technology setup
Arrange detailed travel itineraries for directors, including flight, hotel, and transportation bookings. Ensure all travel plans align with company policies and directors’ preferences
Prepare, submit, and track expense reports on behalf of directors. Ensure accuracy, compliance with company policies, and timely reimbursement
Coordinate with other administrative assistants across the director and executive level to ensure smooth operations.
Requirements
4+ years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Proven experience as an administrative assistant or similar support role, preferably supporting executive-level leaders
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools
Excellent organizational and multitasking abilities
Outstanding communication and interpersonal skills
Experience with travel booking platforms and expense management systems is a plus
High level of discretion and professionalism.
