About the role

  • Administrative Assistant supporting the Planning team in organizing educational project tasks. Contributing to administrative routines and ensuring deadlines in education sector's planning activities.

Responsibilities

  • Support administrative and planning routines within the area, contributing to workload organization and ensuring deadlines are met
  • Update and monitor timesheets, internal controls, and team activity logs
  • Prepare and organize periodic reports to support coordinators
  • Maintain planning dashboards, schedules, and tracking of area requests
  • Assist in tracking micro-projects and short- to medium-term activities, flagging deadlines and outstanding items
  • Create, organize, and maintain activity calendars and area agendas
  • Manage the monthly calendar and support monitoring of the annual planning for events, tool trainings, bimonthly forums, and product days
  • Book meetings, training sessions, and internal event rooms
  • Support the preparation of internal communications materials, such as cards and event invitations
  • Design questionnaires, consolidate information, and organize relevant data to support department activities
  • Record information and update controls related to meeting progress, actions, and deliverables
  • Assist in updating indicators and status tracking for requests and micro-projects.

Requirements

  • High school diploma (completed)
  • Experience with administrative routines, organization, and activity follow-up
  • Knowledge of planning and control tools
  • Proficiency in Microsoft Office, especially Excel and PowerPoint
  • Strong verbal and written communication skills
  • Organized, detail-oriented, and able to manage multiple tasks
  • Familiarity with digital tools and, preferably, with Artificial Intelligence resources
  • Bachelor's degree in progress or completed in Administration or related fields (preferred)
  • Experience in planning, administrative operations, or project support (preferred)
  • Knowledge of Canva and task management/monitoring tools (preferred)
