About the role

  • Sales Gallery Coordinator creating a warm virtual experience for guests with the Hawaii Virtual Sales team. Ensuring guest leads are assigned to Virtual Sales Executives and providing excellent service.

Responsibilities

  • Confirm daily attendance for Sales Executives and Sales Leaders to support accurate tour assignments.
  • Prepare and maintain the daily rotation, ensuring all tour and line rules are followed with integrity.
  • Connect with guests/owners at their scheduled tour time using the approved greeting script to deliver a warm, memorable experience.
  • Verify guest qualifications before assignment and guide them through all technical steps, ensuring they receive tour details, access the platform, and have a functioning camera.
  • Assign and transfer guests to Sales Executives and Sales Leaders based on the established rotation.
  • Participate in required skills assessments to support ongoing development and service excellence.
  • Partner with Management to identify and resolve issues related to guest experience, scheduling, gifting, and tour modifications.
  • Provide Sales Executives with crucial guest information to support a smooth and successful presentation.
  • Accurately update systems with tour details and maintain the daily rotation with precision.
  • Run gifting processes, including issuing, logging, and printing vouchers and receipts.
  • Complete timely exception tour reporting and ensure all tour rules are consistently applied.
  • Use system tools effectively and communicate technical challenges or solutions to support both guests and internal partners.
  • Perform additional duties as assigned to support business needs and team success.

Requirements

  • High School Diploma or equivalent
  • Able to work flexible schedules including mornings, evenings, weekends and holidays
  • Demonstrate excellent communication and interpersonal skill
  • Maintain a professional appearance and demeanor
  • Lead multiple tasks and assignments and demonstrate strong organizational skills in a fast-paced work environment
  • Proficient technology skills
  • BA/BS/Bachelor's Degree (advantageous)
  • 1 year of customer service experience (advantageous)
  • Fluency in English and Japanese (advantageous)
