About the role

  • People & Culture Coordinator supporting day-to-day HR operations at Greentank's Toronto headquarters. Managing office support, recruitment, and employee engagement initiatives.

Responsibilities

  • Serve as a primary point of contact for all visitors to the Toronto office, ensuring a welcoming and professional experience; maintain a visitor log (shared responsibility with the Facilities Manager).
  • Support oversight of third-party office services (e.g., cleaning, security, maintenance), ensuring service quality and cost-effectiveness; escalate concerns to the P&C Manager (shared responsibility with the Facilities Manager).
  • Maintain records related to office space, relocations, and workspace changes (e.g., desk setups) to support organizational needs. Manage and track office access keys, fobs, and alarm codes (shared responsibility with the Facilities Manager).
  • Oversee purchasing and maintain proper inventory levels at all times of office supplies, snacks, and beverages (shared responsibility with the Facilities Manager).
  • Assist with full-cycle recruitment activities, including coordination, scheduling, and onboarding support.
  • Support training and development initiatives through scheduling, coordination, and logistics.
  • Assist in planning, scheduling, and day-of coordination for company events and employee engagement activities.
  • Implement and support initiatives aimed at improving employee engagement, morale, and overall office experience.
  • Act as a liaison with external stakeholders as required.
  • Address IT-related inquiries and coordinate with the company’s outsourced IT provider to ensure timely responses and issue resolution.
  • Provide administrative support to the Senior Leadership Team, including booking travel reservations, and coordinating client meetings.
  • Gather content, photos, and updates for quarterly internal newsletters; maintain an organized internal content repository accessible to employees.
  • Support internal communications in collaboration with the Marketing and P&C teams, including team messaging, company announcements, employee events, and charitable initiatives using provided templates.
  • Assist with special projects and initiatives as assigned by the Director, People & Culture.
  • Perform other duties as required to support the organization.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field
  • At least one year of experience in HR or a similar role
  • Adaptability: Adapts to new methods and processes and suggests improvements to processes, particularly in administrative and customer service tasks
  • Supportive Role: Supports team members effectively, ensuring smooth operations and clear communication
  • Task Completion: Completes tasks accurately and efficiently, particularly in administrative duties and delivers high-quality work

  • Proficient in Microsoft Office (Word, Excel, PowerPoint), Google Drive; familiarity with HR systems is an advantage
  • Ability to work collaboratively in a team environment and build positive working relationships

Benefits
