Responsibilities
Maintain referral database and scheduling process
Coordinate assignment and scheduling for IRAS rights advice meetings
Maintain other tracking documents and registers for managing availability and facility in-person visits
Troubleshoot technical issues with virtual meetings or appointment confirmations as needed
Liaise with suppliers to solve any problems with automated systems
Answer general inquiries by telephone and email
Provide phone and email-based scheduling support to service users and staff
Document public information requests, including time spent in the database
Comply with IRAS procedures for requesting and scheduling meeting support
Escalate more than basic questions or problems to supervisor
Identify opportunities for ongoing quality improvement
Requirements
Relevant post-secondary certification in Office Administration
Demonstrated experience managing appointments and scheduling for a large or complex service
Customer service experience, preferably in a healthcare setting
Demonstrated experience providing client/customer support in a virtual environment
Personal experience with mental health issues, services, or involuntary treatment is an asset
Demonstrated experience communicating in a welcoming, trauma-informed and culturally safe way
Experience working with others using collaboration and relationship-based approaches
Successful completion of background screening checks including a criminal record check and education verification
