About the role

  • Executive Assistant providing administrative support to the Treaty Negotiations and Strategy Branch in Victoria. Working closely with executives and managing office operations.

Responsibilities

  • Support the delivery of branch priorities by providing high quality, responsive and confidential secretarial, administrative and executive support.
  • Work with stakeholders and providing sensitive support to Treaty Negotiations and Strategy executives.
  • Provide logistical support for stakeholder meetings and team events.
  • Assist in the day-to-day operations of the Branch including human resources, finance and budget processes.

Requirements

  • A demonstrated ability to provide high quality, responsive and confidential secretarial, administrative and executive support.
  • The ability to assess and prioritise incoming papers, emails and telephone enquiries and take follow up action by replying to and processing correspondence ensuring department requirements are met.
  • A proficient writing ability with an eye for detail, including the ability to proof-read and perform quality assurance on all products prepared by the Branch.
  • Proficiency in software and systems such as Adobe, FinCloud for processing invoices, SharePoint for the administration of the branch briefs/correspondence and VGP to assist with HR on-boarding and off-boarding processes for new staff.
  • The ability to manage expectations and relationships across branches and liaise with senior management, branch heads, departmental staff, and other public and private sector agencies.
  • A demonstrated ability to provide logistical support for stakeholder meetings and group or team events, including coordinating agendas and papers, venues and catering.
  • The ability to assist in the day-to-day operations of the Branch including human resources, finance and budget processes to ensure that administrative requirements are met.
