Executive Assistant supporting four global executives at Griffith Foods, enhancing operational efficiency and facilitating strategic initiatives. Involves high-level administrative support, travel logistics, and relationship management.
Responsibilities
Providing High level administrative support to 4 global executives, including managing calendars, scheduling meetings, expense management, and coordinating arrangements; drafting and editing correspondence, presentations, and communications on behalf of the executives.
Arranging comprehensive domestic & international travel logistics for executives, including flights, accommodations, ground transport, and detailed travel itineraries
Act as the primary point of contact between executives and internal/external stakeholders, building and maintaining strong relationships with all stakeholders.
Manage and organize sensitive information, documents, and data with a high degree of confidentiality.
Serve as one of the primary points of contact for facility-related inquiries and office service requests.
Manage inventory of office supplies and equipment; proactively order replenishments as needed.
Assist in the development and execution of strategic initiatives by participating in strategic meetings, conducting research, preparing reports, and providing insights and follow up action items to support decision making.
Assist in the planning and execution of key projects, ensuring that deadlines are met and goals are achieved.
Requirements
At least 5 years of experience as an Executive Assistant supporting global executives or in a similar level support role.
Global travel arrangement & meeting scheduling experience
Strong technology proficiency with calendar management systems, travel platforms, and administrative tools, as well as proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
High degree of professionalism, discretion, and confidentiality.
Ability to work onsite in Lombard, IL a minimum of 1-2 days per week, and additional days as business needs periodically require.
Unrestricted US work authorization without the need for visa sponsorship, either now or in the future.
