About the role

  • Landfill Administrator at Veolia handling purchase orders and administrative tasks in waste management. Responsible for accurate record-keeping, compliance, and visitor management at the Rugby site.

Responsibilities

  • Process purchase orders, invoices and related queries accurately and in a timely manner, investigating and resolving any discrepancies
  • Assist with recording and receipting of capital and operational spend against budget, regularly liaising with site operations to confirm delivery of goods and services
  • Compile and maintain accurate records across various databases and systems, ensuring supplier information and filing systems are kept up to date
  • Manage administration and reporting requirements to support contract compliance and client satisfaction
  • Maintain records for inductions, training assessments and QHSE procedures, ensuring these are regularly reviewed and updated
  • Act as site receptionist, managing incoming calls, queries and customer notifications such as site closures
  • Welcome all visitors, ensuring correct sign-in procedures are followed and appropriate inductions and permits to work are issued
  • Ensure all visitors and contractors comply with PPE requirements and site rules at all times
  • Manage site facilities including the conference room, coordinating bookings, room preparation and minute taking when required
  • Manage weighbridge operations when required, ensuring accurate data capture
  • Assist with Elemos queries, liaising with internal departments to resolve issues promptly
  • Undertake any other duties as reasonably required to support the efficient operation of the facility

Requirements

  • Previous experience in a similar administrative or operational role, ideally within the waste, logistics or a regulated industry
  • Weighbridge experience desirable
  • Strong IT skills with the ability to quickly learn and navigate multiple internal systems, including Veolia Management Systems
  • Accurate data entry and analytical skills with the ability to produce clear, concise reports
  • Excellent organisational skills with the ability to prioritise a varied workload and meet deadlines
  • Strong communication and interpersonal skills, with the ability to build effective working relationships across all levels
  • Ability to work both independently and collaboratively as part of a team
  • A proactive and flexible approach to work, with a willingness to take on varied tasks as required
