Responsibilities
Provide administrative support to the VP & CFO and assist AVPs and Directors as needed.
Proactively manage schedules, including preparing and sharing pre-read materials/agendas as needed.
Manage/support business expenses; provide expense coordination for staff as required.
Assist with the preparation and distribution of key reports and presentations.
Coordinate travel arrangements as needed.
Arrange and coordinate meetings across multiple locations, managing conflicting demands and schedule changes.
Plan and execute business functions (team-building events, town halls, workshops, etc.), including room bookings, catering, and technology setup.
Effectively collaborate with other Executive Assistants for cross-team scheduling and coordination needs.
Arrange visitor notices, workspace assignments, and greet guests.
Manage collaboration platforms for digital communications (SharePoint, workplace, shared documents, shared calendars).
Act as the Purchase Coordinator for the Investment Solutions team, including ordering office supplies, hardware, headphones, and mobile devices.
Manage purchase orders (POs) and invoices through SAP Ariba and Concur.
Requirements
3–5 years’ experience as an Executive Assistant to senior executives
Proactive, adaptable, reliable, and demonstrates a strong work ethic; upholds strict confidentiality standards.
Exceptional verbal and written communication, organization, and time management skills, with flexibility to manage shifting priorities.
Advanced proficiency in Microsoft Suite (Word, OneNote, Excel, PowerPoint, Outlook) and Adobe; comfortable in high-volume, paperless settings.
