Responsibilities
Prepare and coordinate offer letters, employment agreements, and onboarding documentation for new hires
Support new hire onboarding, including paperwork collection, orientation scheduling, and system setup coordination
Maintain and update employee records and HR databases within Rippling (HRIS) and internal systems
Coordinate interview scheduling, candidate communications, and recruiting logistics through Pinpoint (ATS)
Assist with benefits administration paperwork and employee support inquiries
Help manage HR documentation, compliance files, and personnel records
Maintain internal People Operations workflows and tracking systems in Monday.com and SharePoint
Coordinate internal meetings, interviews, and team calendars for the People Operations department
Assist with employee communications, HR announcements, and document distribution
Order and coordinate team lunches, office supplies, and basic office support needs
Support general administrative tasks for the Chief People Officer and People Operations team
Ensure data accuracy, organization, and operational consistency across HR systems and records
Requirements
Exceptionally detail-oriented with a strong focus on accuracy, organization, and documentation quality
Highly organized; able to keep files, records, and databases clean, structured, and consistently updated
Strong administrative discipline with the ability to track tasks, follow up on loose ends, and maintain operational order
Excellent at managing paperwork, forms, onboarding packets, and HR documentation with precision
Comfortable maintaining and auditing employee records, recruiting data, and HR systems for completeness and accuracy
Strong time management skills with the ability to prioritize multiple administrative tasks and deadlines
Professional written and verbal communication skills when coordinating with candidates, employees, and leadership
