About the role

  • HR Coordinator managing employee records and supporting recruitment in hybrid environment at Nomadis, specializing in logistics and workforce management.

Responsibilities

  • General HR administration and employee files
  • Prepare and update various HR documents: employment contracts, job descriptions, internal policies, offer letters, etc.
  • Serve as the HR point of contact for management and employees on HR-related questions (policies, compensation, benefits)
  • General administrative support, including the CDAE file and HR compliance (pay equity, CNESST, etc.)
  • Manage follow-ups related to reimbursements, deductions, group plans and RRSPs
  • Produce Records of Employment (ROE) for departures or leaves
  • Ensure full management of employee files in established systems (BambooHR, Wagepoint and Sun Life)
  • Compensation and benefits management
  • Manage biweekly payroll (timesheets, vacation, time banks, various adjustments)
  • Administer benefits and the pension plan: documentation, enrollments, changes
  • Lead the annual salary review exercise with management: execution schedule, salary scale updates, budget framework, communications and record updates
  • Recruitment and onboarding
  • Coordinate the recruitment process with managers: support in preparing job offers, posting, screening applications, phone interviews, organizing internal interviews
  • Coordinate job offers, preparation of agreements and background checks with our partners
  • Ensure a smooth welcome and onboarding for new employees and interns with managers and staff
  • Performance evaluation
  • Ensure the establishment and updating of performance evaluation frameworks with managers
  • Oversee the periodic performance evaluation process
  • Supervise performance improvement cases
  • Development, training and engagement
  • Update and administer performance and professional development tools
  • Help organize training, manage the process and administrative components (1% law)
  • Implement engagement and workplace climate initiatives (surveys, internal communications, team activities)

Requirements

  • Degree or studies in Human Resources Management, Industrial Relations or a related field
  • Minimum of 5 years of relevant experience in HR coordination or personnel administration
  • Excellent organizational skills, strong prioritization and attention to detail
  • High level of discretion and professionalism
  • Proficiency in French and English (bilingualism is an asset)
  • Comfortable with digital tools (BambooHR, Wagepoint, Excel — an asset)
