Responsibilities
Executive and administrative support
Support the Operations Director in optimizing and overseeing their activities
Organize, structure and distribute internal and external information
Draft and format (and translate when necessary): letters, memos, meeting minutes, procedures, specifications and communication materials
Manage filing, archiving and uploading of documents (SharePoint)
Create dashboards, track action plans and follow-ups
Prepare presentations related to the activity
Manage the Operations Director's calendar
Organize meetings and business travel (transportation, accommodation, company vehicle fleet)
Participate in organizing events, company visits and seminars (vendor relations, quotes, coordination)
Improve existing tools and processes (travel management, company visits, etc.)
Manage orders, reception and communications
Welcome and direct internal and external visitors
Manage the telephone switchboard and mail
Requirements
Bachelor's degree (Bac+3) or equivalent in executive assistance, business administration or management
5–10 years' proven experience as an Executive Assistant, ideally in an industrial environment
Autonomous, proactive, and able to propose improvements; well organized
Excellent interpersonal skills and discretion (confidentiality is essential)
Comfortable with office and collaboration tools
Ability to manage complexity, priorities and unexpected situations
English required; German appreciated
