About the role

  • Administrative Assistant providing key support for office operations in West Palm Beach, FL. Collaborating with office leadership and assisting with various administrative tasks.

Responsibilities

  • Schedules and coordinates meetings, events, interviews, annual performance review meetings, and appointments;
  • Arranges complex and detailed travel plans and itineraries;
  • Maintains individual, project and/or group calendar and assists office management in staying updated on daily priorities as assigned;
  • Retrieves and distributes phone messages from voice mailbox and assists callers with inquiries;
  • Provides administrative support with filing, photocopying, scanning and faxing;
  • Composes timely responses to a variety of written inquiries and distributes mailings;
  • Composes and edits plans, specs, reports, memorandums and correspondence;
  • Prepares printed reports and other duplicated material;
  • Maintains corporate contact lists, Outlook contacts, files, databases, records and other documents;
  • Creates, edits and/or formats PowerPoint presentations, technical reports and proposals;
  • Assists with timely submission of employee timesheets and expense reports;
  • Acts as back-up for office services, IT, Marketing and HR to provide coverage when needed;
  • Performs other duties as requested.

Requirements

  • High School degree required; Bachelor’s degree a plus
  • 2+ years of Administrative Assistant experience, preferably within the Professional Services sector
  • Ability to maintain confidentiality
  • Strong sense of initiative and flexibility
  • Excellent communication and interpersonal skills
  • Strong attention to detail with excellent analytical, multitasking, organizational and judgment capabilities
  • Ability to work flexible hours between 8:00 AM and 5:00 PM
  • Ability to work effectively independently and in a team environment.
