Responsibilities
You will support the academic staff in organizing and administering their research, teaching and examination activities.
You will serve as the central point of contact and handle correspondence in German and English with all interfaces (internal team, university departments, project partners, students, etc.).
You will organize meetings, guest lectures, conferences and symposia.
You will arrange business travel and assist with travel expense claims.
You will assist with maintaining the institute’s website.
You will look after visiting scholars.
You will support the team with onboarding new employees.
Requirements
Professional experience in office management (ideally in an academic/university environment)
Secondary school leaving certificate (Matura) or commercial apprenticeship with many years of office experience
Very good IT skills (MS Office, especially Excel and PowerPoint)
Very good German language skills (C1) and solid English skills (from B2)
Experience with content management systems (e.g. Typo3) & social media
Experience with SAP is an advantage
Strong written and verbal communication skills
High service orientation
Organizational skills, team spirit and a solution-oriented approach to work
Ability to work independently and take responsibility
Willingness to undertake further training
