About the role

  • Executive Administrative Assistant in Evans, GA office providing organizational and operational support to senior leadership. Managing calendars, drafting correspondence, and organizing events and travel arrangements.

Responsibilities

  • Manage complex executive calendars, including scheduling meetings, coordinating across multiple stakeholders, and resolving conflicts to ensure optimal use of time
  • Draft, edit, and proofread professional correspondence, reports, presentations, and other documents
  • Organize JANUS hosted events and meetings, manage service contracts, venue support, and internal coordination for IT, document preparation and printing
  • Coordinate meetings, prepare agendas, take meeting minutes, and track follow-up action items
  • Handle confidential information with the highest level of discretion and professionalism
  • Prioritize and manage multiple tasks simultaneously while meeting deadlines in a fast-paced environment
  • Support executive projects by tracking timelines, deliverables, and next steps
  • Organize joint travel, coordinate travel arrangements, file travel expense reports, and other administrative needs as required
  • Maintain organized digital filing systems
  • Anticipate executive needs and proactively address potential issues before they arise
  • Manage the Evans, GA office to include coordinating maintenance, office furniture, supplies, food and drinks, perform inventories (excluding individual IT equipment), and service contracts
  • Complete various HR tasks, as needed.

Requirements

  • Proven experience as an Executive Administrative Assistant, Executive Assistant, or similar role supporting senior leadership
  • Advanced organizational and time-management skills, with the ability to prioritize tasks and manage shifting deadlines
  • Excellent written and verbal communication skills, including experience drafting communications on behalf of executives
  • Strong attention to detail and accuracy
  • High level of discretion and professionalism when handling confidential and sensitive information
  • Proficiency in Microsoft Office, and other productivity tools
  • Ability to work independently while also collaborating effectively with internal teams
  • Strong problem-solving skills and sound judgment
