About the role

  • HR Shared Services Specialist acting as a point of contact for employee inquiries. Supporting HR processes in a hybrid and international work setting.

Responsibilities

  • Serve as the first point of contact for employee and manager inquiries via phone, chat, and ticketing systems.
  • Provide support on HR processes, policies, tools, and services.
  • Resolve issues using internal systems, knowledge bases, and established procedures.
  • Ensure clear communication and high-quality service delivery across multiple countries.
  • Guide users toward self-service solutions and first-contact resolution whenever possible.
  • Handle challenging interactions professionally and manage concerns with empathy.
  • Monitor open cases and proactively communicate updates.
  • Maintain accurate documentation and system records.
  • Collaborate with internal teams to resolve complex cases.
  • Identify recurring issues and support continuous process improvement initiatives.
  • Ensure confidentiality and compliance with data protection regulations.
  • Prioritize workload to meet service level and performance targets.

Requirements

  • Bachelor’s degree or equivalent experience (preferably in Business, Communications, or Customer Service).
  • Minimum 1 year of experience in HR support, contact center, customer support, or shared services environment.
  • Experience supporting users via phone, chat, and ticketing platforms.
  • Ability to work with multiple systems (CRM tools, internal databases, case management systems).
  • Strong attention to detail and ability to follow established procedures.
  • Excellent communication and problem-solving skills.
  • Strong customer service mindset and conflict resolution skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Experience handling confidential and sensitive information responsibly.
  • Fluency in French and English, with native-level Polish.
