About the role

  • C-Suite Executive Assistant providing high-level support to executives while managing office operations. Contributing to a collaborative and efficient workplace in a hybrid environment.

Responsibilities

  • Provide comprehensive, high-level support to the C-Suite executive team.
  • Prepare supporting materials (agendas, briefing materials, and presentations for leadership meetings and board meetings) when directed.
  • Ensure follow-ups, action items, and deadlines from executive meetings are met and keep executives on track ensuring key priorities are met.
  • Coordinate with wider team to manage complex calendars, scheduling, and meeting coordination across multiple stakeholders, flagging any potential bottlenecks.
  • Handle confidential and sensitive information with the utmost discretion.
  • Provide Personal Assistant (PA) support as well as other ad hoc personal tasks for executives to ensure their time and focus are optimized.
  • Oversee day-to-day office operations, ensuring a professional, efficient, and well-maintained environment.
  • Manage relationships with vendors, suppliers, and service providers to support office needs.
  • Coordinate office moves, setups, facilities projects, and equipment procurement.
  • Maintain and optimize office systems and resources.
  • Serve as the primary point of contact for staff regarding facilities operations.
  • Support Internal and External events as directed/ Support cross-functional initiatives that impact executive operations and office efficiency.
  • Streamline processes, systems, and communication channels across teams to improve operational effectiveness.
  • Assist with reporting, data analysis, and documentation required by executives.

Requirements

  • Proven experience as a C-Suite Executive Assistant or senior-level Office Manager, ideally in fast-paced or high-growth environments.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism handling confidential matters.
  • Proactive, solutions-oriented mindset with the ability to anticipate needs and act independently.
  • Experience managing vendors, budgets, and office resources.
  • Desirable Attributes Experience directly supporting CEOs or other top-level executives.
  • Start up experience Familiarity with modern office management tools, productivity software, and collaboration platforms.
  • Collaborative, adaptable, and positive attitude with strong problem-solving skills.
