About the role

  • Foundation Programmes Administrator supporting education activities at EIT Urban Mobility Foundation. Handling administrative tasks related to student payments and supporting the Finance department.

Responsibilities

  • Providing help desk support to students regarding student payments and invoices.
  • Providing the Finance department with updated information on student participation fees to be invoiced and ensuring invoices are issued to students within the set deadlines.
  • Monitoring incoming student payments and sending out reminders to students with payment due dates.
  • Ensuring student allowances are paid to students on time and in line with their scholarship status.
  • Updating the student portal with incoming and outgoing payment information.
  • Updating and maintaining payment policies and keeping a timeline of all incoming and outgoing student payments, per programme, per cohort, and per year.
  • Updating student contracts and student financial support agreements.
  • Acting as the main contact point for the Master School and Doctoral Training Network Offices for all student finance matters.
  • Supporting the set-up of partnerships with student recruitment and funding agencies.
  • Monitoring budgets, including spending and revenue.
  • Providing overall administrative support to Academy-related Foundation activities, such as mail processing, procurement, organising meetings, preparing presentations and meeting-related documents.
  • Proposing and driving initiatives to improve the administrative operations for Academy-related Foundation activities.
  • Helping with other regular and general administrative and operational tasks, as well as reporting to EIT.

Requirements

  • Demonstrated experience (min. 2 years) in a similar role.
  • A Bachelor’s degree in Business Administration, Management, Finance, Accounting, or equivalent training or working experience.
  • Written and spoken English (C1).
  • Professional use of MS Office (Excel, Teams, SharePoint).
  • Strong communication and administrative skills, including planning and execution of assigned tasks.
  • Committed, proactive, accurate and respect of timelines and deadlines.
  • Team player who can work independently.
  • Prioritization and problem-solving skills to manage the (sometimes) conflicting interests, priorities, and expectations of different target groups.
  • Attention to detail and good numerical skills.
  • Strong IT and digital skills.
