About the role

  • Administrative Assistant providing high-level administrative support to the National Science Foundation’s Office of Legislative and Public Affairs. Ensuring efficient office operations and effective stakeholder coordination.

Responsibilities

  • Manage calendars, correspondence, meetings, and document workflows.
  • Prepare agendas, meeting minutes, reports, and briefing materials.
  • Coordinate travel, training, reimbursements, and logistics.
  • Maintain databases, tracking systems, templates, and distribution lists.
  • Draft, edit, and format correspondence and official documents.
  • Communicate with professionalism, discretion, and tact.
  • Support metrics reporting and administrative process improvement.
  • Collaborate closely with OLPA leadership, staff, and contractors.

Requirements

  • Bachelor's degree or equivalent professional experience required.
  • Minimum of three (3) to seven (7) years of relevant administrative or program support experience, with preference for experience supporting federal agencies or senior leadership.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Experience with SharePoint, ServiceNow, and document management systems.
  • Strong writing, editing, and formatting skills.
  • Ability to distill complex or technical information into plain language.
  • Knowledge of federal administrative procedures and professionalism standards.
  • Attention to detail, time management, and multi-tasking ability.
