About the role

  • Manage complex calendars and schedule meetings across multiple time zones, ensuring alignment with business priorities
  • Plan and coordinate international travel arrangements, itineraries, and accommodations for team members attending client meetings, conferences, and events
  • Organize and execute board meetings, team meetings, offsites, and internal events, including agenda preparation and follow-ups
  • Serve as the primary point of contact for scheduling requests, prioritizing meetings based on urgency and business needs
  • Assist in preparing reports, presentations, and correspondence for leadership
  • Track key deadlines, deliverables, and follow-ups to ensure timely execution of initiatives
  • Liaise with internal and external stakeholders, including clients, vendors, and partners, to facilitate seamless communication
  • Support administrative tasks, such as expense reporting, procurement requests, and document management.

Requirements

  • 4+ years of experience as an executive assistant or in a similar administrative role supporting senior leaders
  • Proven ability to manage multiple priorities in a fast-paced, dynamic environment.
  • Strong organizational skills and attention to detail, with the ability to anticipate needs and take initiative
  • Excellent communication and interpersonal skills, with the ability to work across teams and cultures
  • A proactive, adaptable mindset and ability to handle sensitive information with discretion.
  • Proficiency in Google Workspace and experience with collaboration tools such as Slack, Google Hangouts
  • Ability to work independently while maintaining a strong sense of teamwork and collaboration
  • Strong written and verbal communication skills in both English and Dutch.
