About the role

  • Executive Assistant managing operations for the Executive Director in the education sector. Responsibilities include scheduling, correspondence, and coordination of staff interactions.

Responsibilities

  • Manage the Calendar and work schedule for the Executive Director/Registrar: Coordinates all activities related to the ED/Registrar's complex schedule.
  • Coordinate travel arrangements for the Executive Director/Registrar as required: Arranges out of town/province/country meetings and conferences including registration, airfare, accommodations, vehicles, and equipment requirements.
  • Assist the Executive Director’s Office in coordinating sector activities involving multiple branches: Fosters/facilitates/leads relationships within the division, department, and external stakeholders.
  • Manage Correspondence: Responds to ad hoc requests for information from the Minister's Office/Deputy Minister's Office/ADM's Office and disseminates pertinent information and requests for action promptly to the Executive Director/Registrar.
  • Budget and cash flow coordinator for the sector: Monthly budget forecasting for the ED's Office and branches as needed. High attention to detail, working knowledge of all sector contracts and grants.
  • Implement and coordinate effective administration for the sector: Prioritizes and follows up on multiple incoming issues and concerns addressed to the Executive Director/Registrar, including those of a sensitive and/or confidential nature; determines appropriate course of action.

Requirements

  • High School Diploma supplemented with three years of related experience.
  • Must know or understand: Department policies and procedures.
