About the role

  • Manage follow-up, documentation, and CRM upkeep in HubSpot to maintain sales pipeline momentum
  • Handle email, messaging, and sometimes initiate contact with prospects
  • Prepare for and document calls/meetings to ensure seamless workflow
  • Own calendar management, scheduling, and anticipate executive needs
  • Organize projects and workflows using Asana, Notion, Google Drive, and Slack
  • Book travel, manage logistics, and proactively handle tasks before they are requested
  • Support both professional and personal aspects of the executive’s commitments as required
  • Track performance using dashboards and metrics and optimize team efficiency
  • Implement AI tools and automation to streamline workflows
  • Continuously identify opportunities to improve processes and reduce friction

Requirements

  • At least 5 years in executive support, sales operations, or hybrid roles, preferably in tech, AI, or investment sectors
  • Proven experience with HubSpot, Asana, Notion, Slack, Google Workspace, and AI/LLM tools
  • Strong project management and organizational skills
  • Ability to work independently
  • Exceptional communication skills and high emotional intelligence
  • Passion for AI, technology, and mission-driven work
  • Comfortable managing structured processes and dynamic, unpredictable executive needs
  • Obsession with efficiency and using AI tools to improve workflows
  • Curiosity and adaptability to experiment with new technologies
  • Ability to create order from chaos while supporting a fast-paced, entrepreneurial environment
  • Growth mindset and eagerness to learn and take on challenges
  • Strong attention to detail, metrics, and structure, with flexibility for unconventional executive needs
  • Willingness to work Monday–Friday 9AM–6PM Puerto Rico Time (AST) / 9PM–6AM Philippine Time and adaptable to graveyard shifts as needed
