Responsibilities
Independently manage complex calendars, including scheduling across multiple time zones.
Coordinating meetings with senior-level executives and their assistants both internally and externally.
Integrating travel plans seamlessly.
Provide high-level daily support by anticipating the needs of the executive(s).
Ensure they are fully prepared for meetings and calls with relevant materials, pre-reading, and context.
Arrange all aspects of domestic and international travel, including flight bookings, ground transportation, accommodations, detailed itineraries, and expense processing.
Answer and screen incoming calls, take detailed messages, return calls on behalf of the executive(s), and initiate conference calls as needed.
Requirements
Minimum of 5+ years business/executive administrative experience.
Excellent interpersonal skills, initiative, dependability and the ability to communicate with all levels in the organization are necessary.
Ability to work independently with minimal supervision but collaborate as a team.
Ability to handle sensitive information and maintain confidentiality.
Excellent organizational and prioritization skills, good judgment and self-starter.
Ability to manage multiple priorities and work in fast paced environment.
Proficiency with Microsoft Office programs, specifically Word, Excel and PowerPoint.
