About the role

  • Plan and manage all private and commercial travel, including detailed itineraries, visas, security, and ground logistics
  • Arrange accommodation, transport, restaurant, and event bookings to five-star or concierge standards
  • Maintain trusted relationships with premium travel partners, airlines, hotels, and concierge networks
  • Ensure all arrangements are executed smoothly, with contingency planning and minimal disruption
  • Liaise with household staff, contractors, and service providers across multiple locations
  • Oversee property operations, maintenance, repairs, and routine services
  • Manage and renew vendor relationships including insurance, utilities, drivers, and household accounts
  • Source and coordinate premium service providers (chefs, stylists, wellness practitioners, etc.) as needed
  • Maintain complex calendars and scheduling across time zones
  • Manage documentation, renewals, and private appointments
  • Coordinate with professional contacts including medical, legal, and financial advisors
  • Proactively identify and resolve issues before they escalate
  • Oversee special projects, purchases, and logistics from concept to completion
  • Maintain structured systems for documentation, budgets, and payments
  • Deliver white-glove service for all principal and guest experiences
  • Anticipate preferences and special requests, ensuring a seamless experience at all times
  • Curate itineraries, dining, cultural, and leisure experiences with refined taste and attention to detail
  • Serve as the trusted liaison between the principal and all external parties
  • Exercise impeccable discretion, judgment, and confidentiality in all matters.

Requirements

  • Minimum 7 years’ experience supporting UHNW individuals, executives, or family offices
  • Prior experience in concierge, luxury hospitality, aviation or lifestyle management settings
  • Proven ability to coordinate across travel, property, and personal domains simultaneously
  • High emotional intelligence, service orientation, and professional discretion
  • Exceptional communication, organization, and follow-through
  • Fluent, flawless English (additional languages advantageous)
  • Flexible availability across time zones and for occasional travel
  • Excellent computer and tech proficiency.
