Own and organise the CEO’s day to day calendar to ensure that meetings are scheduled and actions are followed through in line with current priorities.
Escalate and coordinate the CEO’s inbox to highlight critical priorities and resolve matters autonomously that do not require the CEOs input.
Own the end-to-end planning for international and interstate travel for the CEO (and ELT as required) including accommodation, transport and itinerary.
Maintain a high degree of accountability for CEO deliverables.
Work closely with the PR team to prioritise all necessary PR events, interviews, podcasts etc.
Liaise with partners, including sponsorships and international media partners, on CEO engagements.
Own swag for all CEO connection points with external partners.
Manage all expenses for the CEO and own the budgets for leadership and international travel.
Support Executive Leadership Team with ad-hoc calendar, offsite planning sessions and capacity management.
Coordinate ELT weekly meetings by owning meeting agendas, action items and liaise with key stakeholders to ensure accountability and alignment on key issues.
Coordinate with Leadership Operations to schedule and action company planning and strategy processes throughout the year.
Board, Committees and Investor Relations coordination:
Coordination of all Board and Committee meetings.
Build and maintain relationships with Board members.
Liaise with key investors and coordinate periodic meetings and roadshows via our stockbrokers, CEO, CFO and investors.
Oversee swag for key connection moments.
Event management including but not limited to offsites, workshops, team celebrations and ceremonies as both driver (i.e. of leadership events) and contributor (i.e. to support People Ops on vibe).
Assist with onsite office management including liaising with co-working space team and pantry supplier management
Being a set of “eyes and ears” for the CEO to ensure the wellbeing and engagement of the ELT and step reports is high.
Flexibility with schedule as dictated by the deliverables of the role.
Requirements
Experience as an Executive Assistant supporting a CEO and multiple senior business leaders.
Outstanding working knowledge of Google Suite, Slack, Zoom, and other common workplace tools.
Deep understanding of senior leadership time management needs, priorities, and workflows.
Strong hustle and go-getter spirit to keep with the pace of a high growth scale-up.
Strong written and verbal communication skills.
Excellent time and priority management skills.
Ability to organise team events and outings from start to finish.
Excellent long-term organisational and planning skills to avoid last-minute rushes.
