About the role

  • Manage complex calendars, schedule appointments, and coordinate meetings
  • Book and manage domestic and international travel arrangements
  • Process expense reports in alignment with Hearst policies and timelines
  • Prepare materials and conduct research in advance of key meetings and interviews
  • Organize and coordinate internal staff meetings and corporate presentations
  • Support planning and execution of special events, including sending invitations and managing RSVPs
  • Welcome and manage office visitors with professionalism
  • Order office supplies, mail out issues, and ensure overall office efficiency
  • Be responsive to emails and calls, with occasional after-hours needs
  • Handle other administrative tasks and special projects as assigned

Requirements

  • 2-3+ years of experience supporting a senior-level media executive in a fast-paced environment
  • Exceptional organizational skills and obsessive attention to detail
  • Highly proactive, self-directed, and resourceful with strong problem-solving skills
  • Excellent communication skills and discretion when working with confidential information
  • Strong collaboration skills with the ability to interact effectively across levels and teams
  • Skilled in Microsoft Office Suite, Keynote, Google Drive, Instagram, and Zoom
  • Tech-savvy with familiarity in scheduling, organizational, and social media platforms
  • Demonstrated ability to manage multiple priorities and deadlines.
