Administrative responsibility to manage complex calendars for multiple leaders, including scheduling and booking of meetings, management of invitations and coordination of calendars
Coordinate domestic and international travel, including flights, accommodations, visas, ground transportation, and itineraries.
Organize and prepare for meetings, including agenda development, logistics, materials and follow-ups and assist in organizing internal and external events and dinners, partly in collaboration with the Maritime Regions or Communications team.
Prepare, edit, and follow up on presentations, reports, and business documents, while maintaining confidentiality and records, as requested.
Establish and maintain exceptional working relationships with internal and external stakeholders and serve as discreet point of contact.
Assist with team initiatives, projects and other administrative tasks as needed.
Effectively support leaders working in different locations by using collaboration and communication tools
Requirements
You have proven experience as an Executive Assistant, or similar role supporting multiple leaders, in an international corporate environment
You have strong organizational and time-management skills with the ability to manage multiple priorities, and you can demonstrate significant results characterized by quality and precision
You communicate in a clear, precise, and structured way, and you have excellent English skills, both written and spoken
You are highly adaptable to different work styles and are comfortable with effectively managing changes in a pragmatic and confident way
You are forward-thinking, flexible and solution oriented, able to act independently and proactively
You are perceived by others as very service-minded and trustworthy; with high integrity and the ability to maintain confidentiality
You are experienced in Microsoft Office applications like Word, Excel, PowerPoint, Teams and related tools.
