Responsibilities
Performs various administrative, organizational, financial, operational, and project related activities in support of senior and executive level staff.
Provides advanced support to senior executives by regularly handling confidential information and performing advanced administrative support.
Coordinates phone calls and directs calls to the right stakeholders.
Helps prepare for meetings and accurately records minutes from the meetings.
Provides realtime scheduling support by booking appointments and preventing conflicts.
Manages calendars, travel arrangements and expense reporting for one or more executives or managers.
Collects data and conducts data analysis to prepare documents for review and presentation by boards of directors, committees, and executives.
Manages records databases.
Collaborates with administrative and/or operational staff to exchange data and information that enables budget planning and expense control.
Builds administrative community, provides learning and training opportunities for other administrative support staff.
Requirements
High school diploma or equivalent experience
10+ years working with senior-level or C-suite executives
10+ years expertise working with all Microsoft tools (SharePoint, PowerPoint, MS Teams), Boardvantage, Concur, Workday or equivalents
Bachelor's degree preferred in administration, HR, or related field
Prior experience interacting with and supporting Board members
Demonstrated ability to use strong organizational skills to plan and coordinate administrative procedures and devise ways to streamline and improve the efficiency of administrative processes
Prior experience managing other administrative assistants
Strong calendar management skills
Proven track record of the ability to maintain close coordination and good rapport with executives
Significant expertise in supporting both internal and external partners, as well as customers at the C-suite level
