Responsibilities
Maintain and manage the Southeast Regional Director’s calendar, including scheduling and confirming appointments.
Work with the SE Regional Director and SE Deputy Director to build a comprehensive list of allies, practitioners, and previous WFP partners across the Southeast.
Work with the SE Regional Director and SE Deputy Director to schedule candidate interviews for GA WFP candidates as needed.
Work with the Regional Director to tier and schedule 1:1 meetings with partners, elected officials, organizers, and donors.
Coordinate and confirm meeting logistics for the RD, including multi-stakeholder meetings, and cross-team collaborations.
Follow up after meetings to align scheduling for next steps with partners, practitioners, and funders.
Manage scheduling for candidate meetings in North Carolina, Tennessee, Mississippi and Georgia as needed.
Coordinate logistics for trips to expansion states.
Support project management for major initiatives, including tracking progress, ensuring deadlines are met, and maintaining clear communication across teams.
Assist in planning logistics for the Bet on Us training program, including outreach, scheduling, materials preparation, communications coordination, and follow-up.
Support execution of Bet on Us information sessions and training opportunities.
Coordinate logistics for joint training with internal staff and external partners.
Handle logistics for events, trainings, roundtables, and strategic convenings across the Southeast.
Coordinate logistics for meetings involving multiple staff members and external partners.
Manage correspondence, triage incoming emails, and respond or escalate as appropriate.
Demonstrate sound judgment, discretion, and professionalism in handling sensitive information.
Handle clerical duties related to compliance and other administrative tasks.
Responsible for taking meeting minutes and notes and following up with participants to provide next steps and meeting notes.
Assist with miscellaneous administrative duties as required.
Requirements
Proven experience in an administrative or assistant role, preferably in a political or nonprofit setting.
Strong organizational and project management skills.
Excellent written and verbal communication abilities.
Ability to handle sensitive information with discretion and professionalism.
Strong problem-solving skills and the ability to work independently.
Flexibility and adaptability to handle a dynamic work environment.
Strong competency with Google Suite, particularly Google Sheets.
Competency with general office technology and equipment such as computers, phones, photocopiers, scanners, and e-filing systems.
Ability to occasionally move boxes and printed materials weighing up to 20 pounds.
Experience on electoral or issue campaigns preferred, but not requiredFamiliarity with campaign technology such as Mobilize, EveryAction, NGPVAN, Action Network, ActBlue preferred.
Ability to work and communicate effectively with a variety of staff, vendors, allies, and WFP members.
Demonstrated experience working without direct day to day supervision and working independently to meet inflexible deadlines set by state and federal law.
Extreme organization skills and detail orientation.
Deeply ingrained habit of always double checking work.
Patience and empathy when coordinating with colleagues on high stress political campaigns.
Some tolerance for change and uncertainty during election and legislative seasonsStrong project management skills preferred.
Willingness to travel occasionally for program and logistical support.

Benefits
This is a part-time contract position at an hourly rate of $20-$25 per hour.
