About the role

  • Administrative Analyst supporting Volkswagen Group Services in logistics and technology operations. Responsible for various administrative tasks and collaboration with technical services team.

Responsibilities

  • Provide direct administrative support to the CSTV (Vehicle Technical Services Center).
  • Review contracts with the service provider management area.
  • Monitor and control payments made by the department.
  • Issue RMs, SENF and maintenance requests via the portal.
  • Hold meetings with the CSTV team as needed for alignment and new requests according to the department’s needs.
  • Process payments through the portal.
  • Coordinate training activities, maintaining the competency track and qualification matrix up to date; plan external trainings according to needs and mandatory courses required by VW.
  • Update and organize folders stored on the department’s server.
  • Coordinate audits (internal and external), supporting meetings, tracking the calendar, and issuing and sending reports to the involved areas.
  • Update and maintain the team vacation spreadsheet.
  • Manage and update the department’s fixed asset and tools inventory spreadsheet.
  • Maintain the maintenance control spreadsheet for equipment and tools that require calibration and preventive maintenance, anticipating expiration dates.
  • Prepare bi-weekly closing reports.
  • Arrange visitor clearance at reception.
  • Maintain PPE records, keeping them up to date.
  • Track team periodic medical examinations.
  • Maintain the access control spreadsheet.
  • Participate in meetings to define the scope of new projects, assumptions and targets, to prepare management materials.
  • Record the Daily Analytical Technical Support Report (RAD) in the system daily by 6:00 PM, listing the activities performed that day and their status.
  • Record the Monthly Analytical Technical Support Report (RAM) in the system monthly by the third business day of the following month.

Requirements

  • Bachelor’s degree in Administration, Accounting, Economics, Engineering or related fields.
  • Advanced knowledge of Microsoft Office, especially Excel and PowerPoint.
  • Intermediate English.
  • Knowledge of Power BI.
