About the role

  • Receives and distributes mail daily
  • Prepares "Reading File" weekly
  • Receives and makes telephone calls for CEO
  • Schedules appointments for CEO
  • Co-ordinates filing for Officers, Company Secretary, and Director of Operations
  • Maintains a 'follow file' and follow up on action to be taken
  • Assists in dealing with correspondence in CEO's office
  • Assists in dealing with correspondence for shareholders' dividends, etc.
  • Assists with typing arising from shareholders' meetings, including notices, agendas, etc.
  • Assists in preparing CEO's reports, speeches, etc.
  • Records minutes of Board Meetings, Finance Committee Meetings, and Pension Trustees Meetings
  • Assists with the typing of board minutes, notices, etc.
  • Assists with the drafting of proposals
  • Types miscellaneous contracts/leases
  • Takes minutes of the Advisory Committee Meeting
  • Maintains personnel files for Head of Departments
  • Makes travel arrangements for CEO
  • Performs any other related duties which may be assigned by the CEO

Requirements

  • Degree in Business or certificate in Administration, or related discipline.
  • At least 2 years experience providing assistance to a Manager.
  • Certified Professional Secretaries (CPS) designation
  • Knowledge of and proficiency in Microsoft Word Suite of Applications
  • At least four (4) years' practical experience in office procedures and practices.
  • Knowledge and understanding of human relations
  • Proficiency in communicating both orally and written
  • Ability to maintain good inter-personal relationship.
