About the role

  • Events Assistant supporting the planning and delivery of diverse events for RAND Europe, engaging policymakers and the public with impact research.

Responsibilities

  • Support the planning, coordination, and delivery of in-person, hybrid, and online events, including conferences, workshops, seminars, and stakeholder roundtables.
  • Work closely with research teams and Communications and Partnerships leadership to understand event objectives and design formats that achieve them.
  • Manage logistics including: venue booking, catering, AV/IT, travel arrangements, delegate registration, accessibility needs, and compliance with health and safety requirements.
  • Help to build relationships with venues, caterers, AV providers, and other external partners to ensure value for money and high-quality service.
  • Liaise with external partners and speakers, ensuring excellent communication and smooth delivery.
  • Support the development of promotional materials in coordination with the Communications team, including event invitations, web pages, and social media content.
  • Support effective financial management by processing invoices and monitoring event costs.
  • Provide on-the-day support, including event setup, troubleshooting, and stakeholder liaison.
  • Collect and analyse post-event feedback to support continuous improvement.
  • Maintain a central events calendar and support effective reporting to internal stakeholders.

Requirements

  • Proven experience in event planning, coordination, and/or project administration (ideally in an academic, policy, or research-focused environment).
  • Strong organisational and time-management skills, with the ability to manage multiple events simultaneously.
  • Excellent written and verbal communication skills, with confidence engaging stakeholders at all levels.
  • Strong problem-solving skills and attention to detail.
  • Ability to work flexibly and adapt to changing priorities.
  • Proficiency in Microsoft Office and virtual event platforms (e.g., Zoom, Teams).
  • Experience using CRM systems and email marketing platforms to manage invitations, outreach, and delegate communications.
