About the role

  • Assistente Administrativo helping students register and navigate internship opportunities at CIEE. Engaging with clients, monitoring documentation, and maintaining organized files.

Responsibilities

  • Register students and refer them to internship and apprenticeship selection processes, issuing referral letters through the internship management system.
  • Manage the return of internship documents using daily reports generated by the internship management system, keeping files organized and up to date for future reference.
  • Notify students to pick up internship-related documents, ensuring their legality.
  • Provide guidance to students, educational institutions, and companies by supplying information about the internship and/or apprenticeship program in accordance with current legislation.
  • Analyze and register internship or apprentice vacancies by liaising with partner companies to match client needs with the profile of open opportunities.
  • Issue internship agreements or Apprenticeship Commitment Agreements upon company confirmation and receipt of approved students' personal and academic documents; prepare amendment terms when changes occur.
  • Request discounts, extensions, or cancellation of institutional contributions in cases of incorrect billing or change of address.
  • Receive and verify interns' timesheets from partner companies to ensure accuracy in stipend calculations.
  • Send interns' timesheets to the Stipend Payments department for processing.
  • Support the Service Consultant by assisting in debt negotiations to facilitate internal/external coordination and ensure service quality.
  • Prepare monthly reports on client recoveries from competitors, new business, visits conducted, negative variances, prospecting activities, and other commercial metrics to support supervision in evaluating and optimizing the sales force.
  • Monitor reports related to rejected payments, implementing necessary corrections to enable confirmation of stipend credits to the intern's bank account.
  • Advise interns and companies, when requested, regarding stipend payments.
  • Provide assistance to companies and interns regarding personal accidents and insurance claims, guiding them on required documentation and procedures.
  • Issue receipts and tax invoices for company contributions after receiving and verifying the timesheets.

Requirements

  • High school diploma
  • Experience providing customer service to internal and external clients.
  • Basic knowledge of Microsoft Office and/or G Suite.
