Responsibilities
Manage complex executive calendars, resolving scheduling conflicts and communicating updates to Managing Directors
Coordinate domestic and international travel, including flights, hotels, and ground transportation; prepare detailed travel itineraries and liaise with trip organizers
Vet and prioritize requests for meetings, events, and media appearances
Prepare and submit expense reports in a timely and accurate manner
Maintain records of client interactions in Salesforce
Manage the team’s master client and field engagement calendar
Screen and direct phone inquiries appropriately
Plan, organize, and execute team and department-wide meetings and events
Provide administrative support on ad hoc projects and initiatives
Assist with creating presentations and preparing meeting summaries
Utilize AI tools to improve efficiency and support administrative workflows
Support special projects and initiatives led by the department’s Chief Operating Officer
Requirements
Bachelor’s degree required
2+ years of professional experience, ideally in an administrative or sales assistant role
Interest in financial services; familiarity with Morgan Stanley or the wealth management industry is a plus
Exceptional organizational and time-management skills, with the ability to manage multiple priorities
Detail-oriented self-starter with a proactive mindset and strong problem-solving abilities
Sound judgment with the ability to prioritize and make decisions in a fast-paced environment
Energetic, motivated, and eager to take on new challenges and initiatives
Familiarity with AI tools, agents, or productivity platforms and an interest in leveraging them to improve efficiency and workflows
Comfortable interacting with senior executives and external stakeholders
Excellent computer skills including Outlook, Word, PowerPoint, and Excel
Strong writing, editing, and proofreading skills
