About the role

  • Administrative Assistant overseeing the commercial office functions and coordinating maintenance. Tasks include call management, correspondence handling, and onboarding new employees.

Responsibilities

  • Telephone reception
  • Processing incoming and outgoing mail
  • Welcoming company contacts: clients, visitors, employees
  • Organizing internal meetings
  • Welcoming new employees
  • Managing onboarding and offboarding processes
  • Managing absences, annual leave and RTT (reduction in working hours)
  • Managing the company vehicle fleet, insurance files and traffic fines
  • Facilities management (cleaning and maintenance of premises, security alarm, fire extinguisher maintenance, Apave, etc.)
  • Monitoring and negotiating service provider contracts
  • Managing purchases (telephony, office supplies, IT equipment, etc.)
  • Invoice verification
  • Preparing and maintaining dashboards, reports and budgets

Requirements

  • Minimum Bac+2 (two-year post-secondary degree), e.g., BTS Assistant Manager, BTS in SME Management Assistance or equivalent qualification
  • 2 years’ experience
  • Fluent English
  • Excellent communication skills and attentive listening
  • Organized and detail-oriented
  • Versatile
  • Able to work independently
  • Assertive
