About the role

  • Administrative Assistant required for IGESA to manage various secretarial tasks. Supports operational functions in a diverse service organization for ministry families.

Responsibilities

  • Processing and monitoring files / data entry
  • Receiving, filtering and redirecting emails
  • Data entry of various documents
  • Presenting correspondence for signature
  • Filing, archiving and updating documentation
  • Maintaining and updating information databases
  • Verifying data accuracy
  • Updating regulatory documents
  • Front-desk reception and telephone handling
  • Greeting, informing and directing the public
  • Answering, screening and prioritizing calls
  • Taking and relaying messages
  • Directing callers or visitors to the appropriate departments or contacts
  • Scheduling and follow-up
  • Managing the executive calendars
  • Updating activity tracking spreadsheets
  • Preparing and organizing meetings
  • Handling meeting logistics
  • Monitoring staff assignments and travel arrangements
  • Managing and monitoring the budget and supplies related to the position

Requirements

  • Baccalaureate (high school diploma)
  • Previous experience in a similar role preferred
  • Strong proficiency in office software (e.g., Microsoft Office)
