About the role

  • Verwaltungsmitarbeiter*in responsible for administrative tasks in a humanistic association in Berlin. Includes office organization, process coordination, and management of procurement.

Responsibilities

  • Comprehensive office organization, including mail handling, switchboard/telephone duties, coordinating visitors, and structured filing, maintenance and digitization of documents
  • Coordination of commercial and administrative processes, particularly preparation of calculations and reports, invoice verification, and allocation to cost centers and responsible departments
  • Purchasing and procurement: determining needs, obtaining and comparing quotes, placing orders, and monitoring delivery dates and invoices
  • Management of insurance and contract matters, including communication with insurers and service providers, coordination, maintenance and updating of policies and framework agreements
  • Ensuring efficient office operations through structured process organization, proactive planning and service-oriented support for all internal departments

Requirements

  • Completed commercial vocational training or equivalent qualification
  • Solid commercial and analytical understanding, especially in handling numbers, calculations, invoices and cost centers
  • Experience with administrative procedures and purchasing/procurement is an advantage
  • Structured, careful and independent working style with strong organizational skills
  • Confident user of the Microsoft 365 environment, especially Excel
  • Strong communication skills, service orientation and reliability in dealing with internal and external contacts
