Responsibilities
Central point of contact between the CEO/Managing Director, the organization and the operational business — with a strong focus on efficiency, strategy implementation and operational excellence
Proactive management of calendars, appointments, email inboxes, contacts, business travel and expenses for the managing partners
Preparation, revision and visual design of presentations, reports and decision documents
Independent planning, coordination and execution of projects and events at the House of Communication Cologne
Analysis, optimization and further development of internal processes and structures to increase operational efficiency
Supporting the executive management on strategic issues and in decision-making
Cost monitoring and control, especially for internal recharges and allocations
Close collaboration with teams and leaders, support in personnel development and people-related topics, and promotion of an open, trusting corporate culture
Requirements
Completed commercial vocational training or a university degree
Extensive professional experience in a comparable role
Strong knowledge of the agency industry and ideally an understanding of how agencies operate and function
Excellent communication skills, independence and a strong service orientation
Meticulous working style combined with strong organizational skills
Self-directed and productive work approach and the ability to manage multiple projects simultaneously
High level of discretion and trustworthiness when handling sensitive information
Team player, resilient and highly adaptable
Strong organizational aptitude
Solid MS Office skills
Good written and spoken English
