About the role

  • Executive Assistant supporting CEO with operational excellence at a leading media agency. Managing calendars, preparing presentations, and optimizing internal processes in Cologne office.

Responsibilities

  • Central point of contact between the CEO/Managing Director, the organization and the operational business — with a strong focus on efficiency, strategy implementation and operational excellence
  • Proactive management of calendars, appointments, email inboxes, contacts, business travel and expenses for the managing partners
  • Preparation, revision and visual design of presentations, reports and decision documents
  • Independent planning, coordination and execution of projects and events at the House of Communication Cologne
  • Analysis, optimization and further development of internal processes and structures to increase operational efficiency
  • Supporting the executive management on strategic issues and in decision-making
  • Cost monitoring and control, especially for internal recharges and allocations
  • Close collaboration with teams and leaders, support in personnel development and people-related topics, and promotion of an open, trusting corporate culture

Requirements

  • Completed commercial vocational training or a university degree
  • Extensive professional experience in a comparable role
  • Strong knowledge of the agency industry and ideally an understanding of how agencies operate and function
  • Excellent communication skills, independence and a strong service orientation
  • Meticulous working style combined with strong organizational skills
  • Self-directed and productive work approach and the ability to manage multiple projects simultaneously
  • High level of discretion and trustworthiness when handling sensitive information
  • Team player, resilient and highly adaptable
  • Strong organizational aptitude
  • Solid MS Office skills
  • Good written and spoken English
