Responsibilities

  • Own complex, frequently shifting calendars for the COO and President, balancing competing priorities with excellent judgment and real-time decision-making.
  • Anticipate needs before they arise, ensuring leaders are prepared, informed, and focused on what matters most.
  • Prepare executives for meetings by gathering background materials, drafting agendas or briefings, and capturing follow-ups to drive momentum.
  • Provide proactive daily support including check-ins, reminders, real-time problem solving, and thoughtful prioritization.
  • Manage all travel logistics, itineraries, and expense submissions with precision
  • Track and drive follow-through on action items, deadlines, and deliverables from key meetings.
  • Serve as a trusted connector across departments and with external stakeholders, building strong relationships throughout the organization.
  • Draft professional correspondence, presentations, and reports with clarity and polish.
  • Handle sensitive information with sound judgment, discretion, and complete confidentiality at all times.
  • Partner with the People/HR team on coordination needs such as onboarding logistics, record-keeping, and company-wide announcements.
  • Support the execution of company events such as offsites, holiday gatherings, and volunteer initiatives that strengthen engagement and culture.
  • Assist with internal communications and logistics that help keep teams aligned and informed.
  • Provide general office and administrative support, including vendor coordination and day-to-day office operations.

Requirements

  • 5+ years of experience supporting senior executives in a fast-paced, high-growth environment.
  • Proven ability to manage complex, frequently changing schedules and priorities with clarity, calm, and strong follow-through.
  • Exceptional organizational, written, and verbal communication skills.
  • High degree of discretion, integrity, and professionalism — trusted with confidential information and sensitive situations.
  • Strong executive presence and emotional intelligence; able to stay composed, solution-oriented, and warm under pressure.
  • Demonstrated ability to anticipate needs, move quickly, and take ownership in an evolving environment.
  • Proficiency in Google Workspace and collaboration tools (e.g., Slack, Notion).
