About the role

  • Administrative Assistant contributing to global operations, managing calls and schedules in Portuguese, English, and occasionally Spanish. Supporting administrative routines with a focus on financial tasks.

Responsibilities

  • Handle and make calls in Portuguese, English, and occasionally Spanish
  • Schedule appointments and confirmations
  • Complete forms, documents, and spreadsheets
  • Respond to emails and text messages promptly and clearly
  • Organize and update the team’s calendars
  • Issue work orders and monitor their execution
  • Perform basic financial controls and client billing/collections
  • Support daily administrative routines

Requirements

  • High school diploma (college degree in progress or completed is a plus)
  • English required (reading, writing, and speaking)
  • Spanish is desirable
  • Proficiency in Microsoft Office and Google Workspace
  • Good communication, proactivity, responsibility, and organizational skills
