About the role

  • Office Manager supporting the sales team and managing various administrative tasks at a fashion and beauty company in Hamburg, Germany.

Responsibilities

  • Central team & sales support
  • Support for our field sales team (Uriage): preparation of documents, reports and organizational tasks for our nationwide sales team
  • CRM management: maintenance of customer records, updating master data and ensuring efficient CRM-supported processes
  • Service-oriented interface: professional communication with internal and external stakeholders and structured handling of multiple concurrent requests
  • Administrative responsibility & data management
  • Administrative support for the entire team: billing, reporting as well as organizational and coordination tasks
  • SAP administration & data maintenance: continuous maintenance and quality assurance of system and process data in SAP
  • Invoice management in SAP: review, account assignment and processing of incoming invoices
  • Operational logistics & process management
  • Operational logistics management: coordination of deliveries, monitoring of inventory levels and collaboration with logistics partners
  • Office & facility management
  • Mail & document management: handling incoming and outgoing mail, structured filing and document organization
  • Reception & guest services: welcoming guests, room preparation and hospitality
  • Telephone & email correspondence: professional communication through central channels
  • Office & supplies management: management of office and consumable supplies, ordering and inventory control
  • Scheduling & meeting organization: coordination of appointments, meetings and internal events
  • Facility & service provider coordination: communication with cleaning, technical services and building management

Requirements

  • You are technically curious and proficient in MS Office applications, especially Excel
  • Ideally you have experience with SAP and CRM systems
  • You are enthusiastic about beauty and luxury products
  • You enjoy face-to-face and telephone communication with various stakeholders both inside and outside the organization
  • You welcome new challenges, have a strong service and customer orientation and a quick grasp of new topics
  • Good analytical skills, a structured and careful working style and a hands-on mentality
  • You have very good spoken and written skills in both German and English
