About the role

  • Executive Assistant supporting the Director of Philanthropy at the Internet Archive, a non-profit that provides universal access to knowledge. Responsible for donor communications, meeting coordination, and fundraising support.

Responsibilities

  • Manage and maintain donor and prospect information in fundraising databases
  • Prepare, proofread, and coordinate correspondence, reports, and fundraising materials
  • Coordinate meetings, including scheduling, preparing agendas, materials, and follow-up communications
  • Manage a complex and active calendar and ensure meeting preparation and follow-through
  • Support coordination and preparation for donor meetings and outreach activities
  • Assist with donor recognition efforts
  • Support logistics and planning for fundraising events
  • Conduct research on grant opportunities and philanthropic foundations

  • Strong attention to detail
  • Excellent communication skills
  • Ability to manage multiple priorities
  • Proficiency with Google Workspace and Slack
  • Experience with donor databases preferred
  • Comfort working with spreadsheets and presentation tools
  • Ability to conduct research on grant opportunities and philanthropic foundations
