About the role

  • Plan, coordinate, and execute annual in-person and virtual events for 100-1,000 attendees, including CXO gatherings, the Digital Ball, networking sessions, cocktail receptions, and corporate golf outings.
  • Manage all event logistics end-to-end, including registration, invitations, vendor relations, venue selection, décor, catering, audiovisual, and staffing.
  • Create detailed project plans, production schedules, and run-of-show documents to ensure seamless event execution.
  • Oversee volunteer and intern engagement, providing clear direction and training for event support.
  • Develop innovative event formats and experiences that align with Techbridge's mission and audience engagement goals.
  • Manage event budgets, track expenditures, and reconcile invoices while maintaining financial accountability.
  • Negotiate contracts and pricing with venues, vendors, and suppliers to maximize value and impact.
  • Manage registrations for all internal and external attendees.
  • Partner with the Marketing team to develop event promotion strategies, collateral, and digital campaigns.
  • Ensure all event materials, design assets, and signage are consistent with Techbridge's brand identity.
  • Develop and manage all post-event reports.

Requirements

  • Minimum 5 years of professional experience in event planning, hospitality, or nonprofit program management.
  • Proven success in managing large-scale events and fundraisers (in-person and virtual).
  • Strong organizational, time management, and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, including copywriting for invitations and marketing materials.
  • Demonstrated ability to engage and serve culturally diverse audiences with professionalism and empathy.
  • Experience managing volunteers and collaborating with senior stakeholders and community partners.
  • Strong budget management skills with the ability to deliver impactful events on modest budgets.
  • Proficiency in Microsoft Office Suite, Google Workspace, Slack, Salesforce, and major social media platforms (Instagram, Facebook, LinkedIn, Twitter/X).
  • Ability to use fundraising platforms like GiveSmart, Classy, etc.
  • Ability to adapt quickly to changing priorities and thrive in a fast-paced, mission-driven environment.
  • Willingness to work evenings and weekends as required for event execution.
